Adding a File and File versions

Who can upload a File? Anyone on the Project:

  • Leaders, Publishers and Contributors can upload files and make them available to the team without approval.
  • Other members can upload a file, but the file needs to be approved by a Leader or Publisher before others on the team can see it. Until approved, these Files are placed in a "Pending" area.

Uploading a new file

  • Within a project select the Files tab
  • Select "Upload New File(s) in the upper right sub-tab
  • Complete the information and select the Files to upload from your computer.
  • See "Protect" and "Availability" for more information
  • Select "Upload Files" in the lower left

Uploading a new version of a file

  • Within a project select the Files tab
  • Select the file you wish to upload a new version of
  • Select "Upload New Version" in the Action box
  • Select the file to upload from your computer
  • Select if the File name should be updated:
    • No= The file will retain the original name.
    • Yes=the file name will be changed to the name of the file being uploaded.
  • Select "Upload New Version" in the lower left.

Versions

  • When a new version of a file is uploaded the file version will increment in whole numbers: 1, 2, 3, etc.
  • There is no designation of minor versus major versions: e.g. 1.1 vs 2.0.
  • Files with more than one version will have a flag indicating number of versions of the file: V2, V3, V4, etc.
  • If a file does not have a flag, only one version of the file has been uploaded.
  • If a file has more than one version Leaders, Publishers and Contributors can view and download any prior version by clicking on "Version History" in the Activity box.
