Creating, Assigning and Representation on Gantt
DEFINITIONS
Milestone:
A date by which a number of assignments need to be completed. These Assignments can be Tasks or Tickets. Milestones can be assigned to a single team member responsible for it.
Task:
An assignment which which is a planned step. e.g. "Prepare and send invitations" may be a Task under the Milestone "Pre-Party Assignments". Tasks can be assigned to a single team member responsible for its completion.
Tasks can only be created and assigned by Project Leaders and Task Managers.
Non-Project Leaders or Task Managers can only see Tasks assigned to them. They cannot see Tasks assigned to others (both the Task list as well as the Gantt chart).
Tickets:
Unlike a Task, a Ticket is generally an unplanned item or assignment that may come up during the course of the project. e.g. "Find new printer for invitations" may be a ticket upon discovering the printer you normally would use cannot satisfy your needs.
Tickets can be created by anyone on the team, but can only be assigned by Project Leaders and Ticket Managers.
Non-Project Leaders or Ticket Managers can only see Tickets assigned to them. They cannot see Tickets assigned to others.
Tickets have three types: To Do, Issue, Feedback
- To Do: item that needs to be completed by a particular date. This can be assigned to a single team member responsible for its completion.
- Issue: item that is similar to the above but is a higher priority. There is no due date since it is expected to be addressed immediately. This can be assigned to a single team member responsible for its completion.
- Feedback: Some information that Leaders should be informed of. No action is necessarily needed and this item cannot be assigned to anyone.
